Make PropertyBase your own with extensive customization options.

Branding​

Logo & Colors​

Customize your workspace appearance:

  1. Go to Settings > Branding

  2. Upload your logo:

    • Light Logo: For light backgrounds
    • Dark Logo: For dark mode
    • Favicon: Browser tab icon
  3. Set brand colors:

    Primary Color: #545739
    Secondary Color: #1E1C11
    Accent Color: #FAF1E8

Email Templates​

Customize all outgoing emails:

  1. Go to Settings > Email Templates
  2. Select template to edit
  3. Customize:
    • Subject line
    • Header/footer
    • Body content
    • Variables/merge fields

Available Variables:

{{lead.name}} - Lead's full name
{{lead.email}} - Lead's email
{{property.name}} - Property name
{{agent.name}} - Agent name
{{workspace.name}} - Your company name

PDF Brochures​

Customize property brochures:

  • Logo placement
  • Color scheme
  • Font selection
  • Layout options
  • Footer content

Custom Fields​

Adding Custom Fields​

Extend data models with custom fields:

  1. Go to Settings > Custom Fields
  2. Select entity (Lead, Property, Unit)
  3. Click Add Field
  4. Configure:
Field Name: Investment Grade
Field Type: Select
Options:
- A (Premium)
- B (Standard)
- C (Value)
Required: false
Visible To: All

  • In table views
  • In filters
  • In reports

Pipeline Customization​

Custom Stages​

Modify your lead pipeline:

  1. Go to Settings > Pipeline
  2. Add, edit, or remove stages
  3. Configure each stage:
Stage Name: Site Visit
Color: #4CAF50
Probability: 50%
SLA: 24 hours
Auto-actions:
- Send viewing confirmation
- Notify agent manager

Multiple Pipelines​

Create different pipelines for:

  • Sales leads
  • Rental inquiries
  • Investor relations
  • After-sales support

Workflow Automation​

Automation Rules​

Create rules to automate tasks:

  1. Go to Settings > Automations
  2. Click New Rule
  3. Define trigger and actions:
Name: Welcome New Lead
Trigger: Lead created
Conditions:
- Source = Website
Actions:
- Send welcome email
- Assign to round-robin
- Create follow-up task (1 hour)

Available Triggers​

  • Lead created/updated
  • Stage changed
  • Property status changed
  • Task due
  • Time-based (daily, weekly)

Views & Filters​

Custom Views​

Save filtered views for quick access:

  1. Apply filters to any list
  2. Click Save View
  3. Name your view
  4. Set visibility (personal/team)

Example Views:

  • "My Hot Leads"
  • "Overdue Follow-ups"
  • "This Week's Viewings"
  • "Unsold Inventory"

Default Views​

Set default views by role:

Agents:
Leads: "My Leads"
Properties: "Assigned to Me"

Managers:
Leads: "All Active"
Properties: "All Available"

Configure per-user notifications:

Custom Roles​

Create custom roles beyond defaults:

  1. Go to Settings > Roles
  2. Click Create Role
  3. Configure permissions:
Role: Senior Agent
Permissions:

- View all
- Edit assigned

- Edit assigned
Reports:
- View team reports

Field-Level Permissions​

Control field visibility by role:

Localization​

Language Settings​

Configure workspace language:

  • Interface language
  • Email language
  • Document language

Date & Number Formats​

Set regional formats:

Date Format: DD/MM/YYYY
Time Format: 24-hour
Number Format: 1,234.56
Currency Position: Before ($100)

Multi-Currency​

Enable multiple currencies:

  1. Go to Settings > Currencies
  2. Add currencies
  3. Set exchange rate source
  4. Configure display options

Import/Export Settings​

Save Configurations​

Export your customizations:

  1. Go to Settings > Import/Export
  2. Click Export Settings
  3. Select what to export:
    • Custom fields
    • Pipeline stages
    • Automation rules
    • Email templates
    • Views

Apply to New Workspace​

Import settings to a new workspace:

  1. Create new workspace
  2. Go to Settings > Import/Export
  3. Click Import Settings
  4. Upload configuration file

Best Practices​

  1. Start with Defaults - Customize gradually
  2. Document Changes - Keep track of customizations
  3. Test Before Deploy - Test automations thoroughly
