User Management

Comprehensive guide to managing users in your PropertyBase workspace.

User Overview​

User Types​

TypeDescription
OwnerWorkspace owner with full control
AdminAdministrative access

User Lifecycle​

Invited → Pending → Active → (Suspended) → Deactivated

Inviting Users​

Single User Invitation​

  1. Go to Settings > Team
  2. Click Invite User
  3. Fill in details:
    • Email address
    • Full name
    • Role
    • Team (optional)
  4. Click Send Invitation

Bulk Invitations​

Import multiple users via CSV:

email,name,role,team
john@agency.com,John Doe,agent,Sales Team A
jane@agency.com,Jane Smith,admin,
  1. Go to Settings > Team > Import
  2. Download the CSV template
  3. Fill in user data
  4. Upload and review
  5. Send invitations

Managing Existing Users​

Viewing User Details​

  1. Go to Settings > Team
  2. Click on a user's name
  3. View:
    • Profile information
    • Activity history
    • Assigned properties/leads
    • Performance metrics

Editing User Information​

Admins can edit:

  • Name and contact details
  • Role and permissions
  • Team assignment
  • Commission structure

Resetting Passwords​

  1. Go to Settings > Team
  2. Select the user
  3. Click Reset Password
  4. User receives reset email

User Status Management​

Suspending Users​

Temporarily disable access:

  1. Select user
  2. Click Suspend
  3. Choose duration (optional)
  4. Confirm

Suspended users:

  • Cannot log in
  • Retain all data
  • Can be reactivated

Deactivating Users​

Permanently remove access:

  1. Select user
  2. Click Deactivate
  3. Choose data handling:
    • Reassign leads to another user
    • Leave leads unassigned
  4. Confirm

Reactivating Users​

  1. Go to Settings > Team > Inactive
  2. Find the user
  3. Click Reactivate
  4. User regains access

Activity Tracking​

User Activity Log​

View all user actions:

  • Login/logout events
  • Resource access
  • Changes made
  • API usage

Session Management​

View active sessions:

Device: Chrome on MacOS
IP: 192.168.1.100
Location: San Francisco, CA
Last Active: 5 minutes ago

Force logout from all devices if needed.

Best Practices​

  1. Regular Audits - Review user access quarterly
  2. Prompt Offboarding - Remove access immediately when users leave
  3. Minimum Access - Grant only necessary permissions
  4. Strong Passwords - Enforce password policies
  5. 2FA Required - Enable two-factor authentication
