User Management
Comprehensive guide to managing users in your PropertyBase workspace.
User Overview​
User Types​
| Type | Description |
|---|---|
| Owner | Workspace owner with full control |
| Admin | Administrative access |
| Agent | Sales/leasing agent |
| Viewer | Read-only access |
User Lifecycle​
Invited → Pending → Active → (Suspended) → Deactivated
Inviting Users​
Single User Invitation​
- Go to Settings > Team
- Click Invite User
- Fill in details:
- Email address
- Full name
- Role
- Team (optional)
- Click Send Invitation
Bulk Invitations​
Import multiple users via CSV:
email,name,role,team
john@agency.com,John Doe,agent,Sales Team A
jane@agency.com,Jane Smith,admin,
- Go to Settings > Team > Import
- Download the CSV template
- Fill in user data
- Upload and review
- Send invitations
Managing Existing Users​
Viewing User Details​
- Go to Settings > Team
- Click on a user's name
- View:
- Profile information
- Activity history
- Assigned properties/leads
- Performance metrics
Editing User Information​
Admins can edit:
- Name and contact details
- Role and permissions
- Team assignment
- Commission structure
Resetting Passwords​
- Go to Settings > Team
- Select the user
- Click Reset Password
- User receives reset email
User Status Management​
Suspending Users​
Temporarily disable access:
- Select user
- Click Suspend
- Choose duration (optional)
- Confirm
Suspended users:
- Cannot log in
- Retain all data
- Can be reactivated
Deactivating Users​
Permanently remove access:
- Select user
- Click Deactivate
- Choose data handling:
- Reassign leads to another user
- Leave leads unassigned
- Confirm
Reactivating Users​
- Go to Settings > Team > Inactive
- Find the user
- Click Reactivate
- User regains access
Activity Tracking​
User Activity Log​
View all user actions:
- Login/logout events
- Resource access
- Changes made
- API usage
Session Management​
View active sessions:
Device: Chrome on MacOS
IP: 192.168.1.100
Location: San Francisco, CA
Last Active: 5 minutes ago
Force logout from all devices if needed.
Best Practices​
- Regular Audits - Review user access quarterly
- Prompt Offboarding - Remove access immediately when users leave
- Minimum Access - Grant only necessary permissions
- Strong Passwords - Enforce password policies
- 2FA Required - Enable two-factor authentication
